1. 6-8 Weeks Before Moving

Confirm Your New Home

  • Sign the rental agreement: Once you’ve found a new home, carefully review the lease contract before signing. If you’re unsure about any clauses, consult an expert to clarify them before committing.
  • Terminate your current lease: Send a written notice by registered mail to your landlord while respecting the standard three-month termination period (if applicable). If you plan to move out earlier, try to find a new tenant to avoid overlapping rent payments.
  • Set your moving date: Coordinate the exact moving date with your landlord, property management, or the new homeowner to prevent scheduling conflicts.

Administrative & Financial Preparations

  • Request a credit check or proof of rental payments: Many landlords require a credit report (Schufa in Germany) or a rental payment certificate from your current landlord to confirm timely payments. Get this document in advance to avoid delays.
  • Arrange for the rental deposit: Prepare the deposit for your new home or consider rental deposit insurance as an alternative to direct payment.

Moving Planning & Budgeting

  • Set a moving budget: Calculate all moving-related costs, including:
    • Hiring a moving company or renting a moving truck
    • Packing supplies (boxes, bubble wrap, tape, etc.)
    • Additional costs such as a rental deposit, new furniture, or renovations
  • Compare moving company quotes: Get multiple offers from different moving services early to find the best deal. If you’re moving on your own, book a rental truck in advance to avoid last-minute availability issues.
  • Decide on help: If friends and family will assist, confirm their availability early. If hiring professionals, secure their services as soon as possible.

Administrative Tasks

  • Plan time off work: Moving takes time, so request vacation days in advance to ensure you have enough time for packing and settling into your new home.
  • Inform your employer and schools:
    • If you have children, notify their school about the relocation and begin transferring school records to the new institution.
    • If your move affects your job, discuss remote work options or flexible working hours with your employer during the transition.

2. Four Weeks Before the Move

Notify Relevant Parties

  • Update your address: Inform the relevant authorities, insurance providers, and health insurance companies about your new address. Additionally, set up a mail forwarding service with Deutsche Post to ensure important mail reaches you after the move.
  • Register your new residence: In Germany, you must register your new address with the local registration office (Einwohnermeldeamt) within two weeks of moving.
  • Inform contract partners: Notify your bank, credit card providers, insurance companies, healthcare providers, and schools about your relocation. If moving to a different federal state, check if there are additional registration requirements.
  • Transfer utilities: Schedule the disconnection of utilities at your current home and arrange for electricity, gas, water, internet, and phone services at your new residence. Allow for an overlap of a few days to ensure no disruption in service.
  • Review insurance policies: Check your home, liability, and auto insurance policies. If moving to a new area, your coverage or premiums may change. Comparing policies could save you money.

Decluttering & Packing

  • Sort and declutter: Take this opportunity to sell, donate, or discard items you no longer need. Reducing the number of things to move will save time, effort, and costs.
  • Gather packing supplies: Purchase or collect moving boxes, bubble wrap, tape, and labels early. Make sure your supplies are sturdy and suitable for transport.
  • Plan necessary repairs: If your current home requires any repairs or minor fixes, schedule them now to ensure a smooth handover to the landlord or next tenant.

Administrative & Moving Day Preparation

  • Plan moving day logistics: Reserve parking spaces for the moving truck at both your old and new residence. If needed, apply for a temporary no-parking permit (Halteverbotszone) through the local authorities.
  • Organize important documents: Keep passports, birth certificates, medical records, financial documents, and insurance policies in a secure, easily accessible folder.
  • Make arrangements for pets: If you have pets, organize temporary care for them on moving day. Also, ensure that vaccinations and paperwork are up to date, especially if moving to a different state or country.

3. Three Weeks Before the Move

Logistics & Final Moving Arrangements

  • Notify your neighbors: Let your neighbors know about your moving day in advance. This helps them prepare for possible noise, blocked entrances, or parking adjustments and can make the move smoother for everyone.
  • Reserve parking for the moving truck: Contact your local municipal office (Ordnungsamt) to apply for a temporary no-parking permit (Halteverbotszone) at both your old and new address. This ensures easy access for the moving truck and prevents unnecessary delays.
  • Book specialized moving services: If you have heavy, delicate, or valuable items like a piano, artwork, or antique furniture, now is the time to hire specialized movers to handle them safely. Professional handling can prevent damage and costly repairs.

Packing & Home Preparation

  • Pack non-essential items: Start packing seasonal items, decorations, and things you won’t need before the move. This reduces last-minute stress and makes moving day more efficient.
  • Label your boxes clearly: Use labels or color-coded stickers to mark each box by room and content. This makes unpacking easier and helps movers place boxes in the right rooms.
  • Secure fragile items: Wrap glassware, dishes, and electronics carefully with bubble wrap or blankets. Mark fragile boxes clearly to ensure they’re handled with care.

Preparing Your New Home

  • Schedule cleaning services if needed: If your new place requires deep cleaning, painting, or minor repairs, arrange for these services now so your home is move-in ready.
  • Check internet & utilities setup: Confirm that electricity, water, heating, and internet will be activated before your move-in date to avoid any delays in setting up your new home.
  • Plan for waste disposal: Check the waste collection schedule in your new area to dispose of packaging materials and old furniture properly.

4. Two Weeks Before the Move

Final Preparations

  • Start moving non-essential items: If possible, begin transporting smaller or non-essential belongings to your new home ahead of time. This will lighten the load on moving day and help you start organizing sooner.
  • Book handyman services: If you need painting, drilling, or furniture assembly, schedule these services now to avoid last-minute stress.
  • Plan for key handover: Coordinate with your landlord or property manager to set a date for handing over the keys to your current home. Ensure that all necessary paperwork is completed.
  • Double-check address changes: Review and confirm that your bank, utilities, subscriptions, and official documents reflect your new address to avoid disruptions.

Packing & Organization

  • Finish packing most of your belongings: Focus on packing clothes, kitchenware, and household essentials that you won’t need before the move.
  • Pack a "moving day essentials" kit: Prepare a separate bag or box with:
    • Basic tools (screwdriver, tape, scissors)
    • First-aid kit
    • Chargers & power banks
    • Snacks & bottled water for the move
    • Toiletries & a change of clothes for the first night
  • Prepare valuables for safe transport: Pack important documents, jewelry, and electronics separately and keep them with you during the move.

Household & Utility Preparations

  • Empty & clean the refrigerator & freezer: Plan meals to use up perishable food and defrost these appliances to avoid leaks or bad odors.
  • Prepare plants & fragile items: Secure houseplants and delicate items to prevent damage during the move.
  • Confirm all moving arrangements: Double-check your moving company booking or, if moving yourself, verify your rental truck reservation and helpers.

5. One Week Before the Move

Disassembly & Packing for Moving Day

  • Dismantle furniture: Start disassembling large furniture pieces such as beds, wardrobes, and shelving units. Store screws, bolts, and small parts in labeled bags to simplify reassembly.
  • Pack a "moving day survival kit": Prepare a bag or box with essential supplies to keep handy on moving day:
    • Tools: Screwdrivers, utility knife, tape, measuring tape
    • First-aid kit for minor injuries
    • Phone chargers & power banks
    • Snacks & bottled water for energy
    • Toiletries & fresh clothes for the first night in your new home
  • Prepare food & drinks for helpers: Ensure you have enough food and drinks for yourself, friends, or hired movers. Keeping everyone fed and hydrated will boost morale and efficiency.

Final Home & Moving Day Preparations

  • Empty & clean your refrigerator & freezer: Use up perishable food and defrost your fridge/freezer at least 24 hours before the move to prevent leaks.
  • Secure plants & fragile items: Wrap fragile items carefully and label boxes clearly. Protect houseplants from damage by placing them in open, stable boxes.
  • Pack important documents & valuables separately: Keep passports, rental agreements, insurance papers, cash, and jewelry in a personal bag that stays with you.

Last Administrative & Logistics Tasks

  • Confirm moving arrangements: Double-check your moving company booking or, if moving yourself, confirm your rental truck and helpers’ availability.
  • Ensure your new home is ready: Confirm that utilities (electricity, water, heating, internet) will be active before you move in.
  • Plan for waste disposal: Arrange for proper waste disposal and recycling for any leftover packing materials or old furniture.
